Life Hack | Part 6 | Bad Customer Service Cost Your Business
**Dear Steemit Community**

In order to be able to rise from companies that cannot provide distinctive customer service, you must instill a number of key functions and a culture of responsibility to your customer service team.

In every profession, sport or trade, world-famous teams do certain things that set them apart. On the other hand, there are certain things that these elite teams have avoided in order to operate at full performance. The world of service is no different.

For a truly memorable experience (a kind of experience that gives the customer a high reputation), teams should not fall into the traps that other competitors fall.

**Whether your company is growing fast or trying to lay a foundation for the future, don't let your team fall into these familiar traps.**

# 1. Transformation of Customer Services, Which Have Received the Same Demands Over the Years, to SSS Devices

People do not call customer service to listen to company policies being read out to them. They call because they ask for help to make the right decision. Distinguished representatives should know what the correct answers are (and where they can find them when needed), as well as be able to lead customers to the right path and share the necessary information to fully understand the situation and achieve a successful outcome.

# 2. Avoiding Responsibility Becoming a Company Culture

In the customer's eyes, the customer service representative who picks up the phone is the company itself. It is not the same as taking responsibility for a bad experience and accepting the mistake. Effective representatives promise to do everything they can to solve the problem on behalf of the company, even though the customer service representative or team is not responsible for the problem the customer is suffering from. This is a feature seen in select teams. Leaders train their representatives to apologize and take responsibility. They also instill their representatives the ability to save the company's reputation in the eyes of the customer.

# 3. Negative Concentrated Answers

Even the strongest customer representatives cannot bend time and space to repair a product or ensure that a product in cargo is delivered on time. But they can take the necessary steps to get the problems resolved more quickly.

Let's give an example as follows: The customer representative of an online retailer is wanted by a customer whose product is not received on time. A representative who concentrates on the downside of the business will say that he is not sure what is causing the delay, the product is in the hands of a shipping company like UPS, and it is better for the customer to call UPS directly. A representative who concentrates on the positive side of the event will access the order information, make sure that the problem is caused by UPS and will inform the customer that the problem cannot be solved directly, but will contact UPS on behalf of the buyer to ensure that the package is delivered to the customer as soon as possible.

# 4. Tracing Problems Occasionally

Teams that do not concentrate on perfect customer satisfaction try to solve the problem if they can, but if they cannot solve the problem, they follow the customer's problem in a limited way. If a problem cannot be solved at that moment and assistance is needed elsewhere, elite companies always follow up to ensure that the problem is resolved. No one in the team accepts the leakage of water through the cracks. Even an email that ensures that the customer's needs are met is very effective.

# 5. Directing the Client to Another Channel Without Making Sufficient Explanation

If the customer comes across a representative who doesn't have enough tools to solve the problem, the worst answer is that they are asked to contact the company from another channel. Distinguished companies facilitate the work of representatives by ensuring that their employees who interact with the customer have access to the necessary information and tools to solve the customer's problem.

Each agent's toolbox should have a customer interaction management system that contains the history of the customer's interactions with the company, and a wiki page that contains all kinds of information about the company, the company's policies and products, and is stored on the internet or intranet. Companies engaged in e-commerce or online retailing need to have an order control system in which representatives can control the customer's order status and the company's background functions to prevent the growth of the problem or eliminate the need to direct it to a manager. If the interaction must necessarily be directed to another channel, it is necessary to communicate with the customer by the correct channel informed about the customer's complaint in order to do this in a friendly manner or, if necessary, to avoid loss of time and effort.
